UGC & Influencer Coordinator
About the Role
The UGC & Influencer Coordinator owns the daily execution of our UGC and influencer operations. You manage creator communication, run first-line quality control on all video content, source and shortlist creators, handle contracts and invoicing, and maintain our ClickUp project boards. Content that reaches the manager or Creative Strategist should be fully reviewed and ready for strategic decisions.
We operate as a small, fast-moving team. You will receive clear systems and expectations, then be trusted to execute independently. Proactive communication and self-direction are essential.
This role reports to the UGC & Influencer Manager.
Key Responsibilities
Quality Control
- Review all creator submissions against the brief, client QC checklist, FTC compliance requirements, text overlay specs, and brand guidelines.
- Provide clear, actionable revision feedback directly to creators.
- Own the sign-off gate: no content advances to the manager or client without your review.
Creator Communication and Negotiation
- Manage all creator correspondence: outreach, contracting, invoicing, timeline management, and follow-ups.
- Negotiate creator rates within target CPMs.
- Write emails that are send-ready without manager review.
Sourcing and Pipeline Management
- Filter and search the creator database when new projects launch.
- Present shortlists with a clear rationale for each selection.
- Maintain the pipeline proactively so sourcing never becomes a bottleneck.
Systems and Automation
- Operate within ClickUp workflows, automated contracting tools, and reporting systems.
- Understand status triggers and the next actions they require.
- Flag system issues rather than working around them.
Requirements
- 1 to 2 years in UGC, influencer marketing, or creator management, agency experience preferred.
- Professional written English for daily creator and client communication.
- Project management tool experience, ClickUp strongly preferred.
- Comfort negotiating rates with creators.
- Strong attention to detail across video QC, brand guidelines, and FTC compliance.
- Availability during EST business hours or significant overlap.
Non-Negotiable Traits
- Follows up without reminders.
- Flags problems before they escalate.
- Brings solutions alongside questions.
- Organized by default.
- Takes ownership of output quality.
Nice to Have
- Experience with Meta ad creative and the difference between paid and organic content.
- Familiarity with creator contracts, usage rights, and perpetual licensing.
- Experience with Zapier, Make, or similar automation platforms.
- An existing network of UGC creators.
Working Hours
Full-time, approximately 40 hours per week, Monday through Friday. Core hours align with or overlap Eastern Standard Time. Flexibility exists, but real-time creator communication requires meaningful overlap with US business hours.
What's In It for You
- A direct path to the UGC & Influencer Manager role. Coordinators who demonstrate consistent execution, developing QC instincts, and proactive project ownership are considered for expanded responsibilities, higher compensation, and team leadership.
- Real ownership from day one. You are the sign-off gate on creative quality, not a pair of hands passing files along.
- Clear systems, then autonomy. You get documented processes and expectations, then the trust to run them independently.
- Category variety. Our client roster spans DTC ecommerce, healthcare, and SaaS, so you build range across brands and creator types.
- Remote work with a culture that respects work-life balance and clear boundaries.
- Access to continuing education and resources provided by the agency to grow in your field.
